Customer sales orders in Busy and Marg

Most distributors on Busy or Marg still type every customer order by hand. This guide covers how that is done today, the Excel import route, and how OrderDak helps now, with one plain limit stated up front.

Straight answer: OrderDak does not post orders directly into Busy or Marg yet. That is planned, not built. Today you can use OrderDak to read and check each order, then download it as an Excel sheet to enter or import in Busy or Marg. Direct posting works for Tally Prime.

How orders get into Busy and Marg today

A typical morning on the order desk:

  1. Orders arrive as WhatsApp messages and photos, email bodies, PDF purchase orders and Excel sheets, each in the buyer's own wording.
  2. Someone reads each one, works out which party it is, and translates the buyer's item names ("1.5 red wire", "MCB 16 single") into your item master.
  3. They open the order or sale voucher in Busy or Marg, pick the party, and type each line: item, quantity, rate, discount.
  4. Rates are checked against the price list, stock and the party's outstanding are looked up, and the order is saved.
  5. The buyer is told what was confirmed, often by phone or WhatsApp.

The slow, error-prone part is steps 1 and 2: reading orders in many formats and mapping the buyer's words to your items. That part is the same whichever ERP you use.

The Excel import route in Busy

Busy can import vouchers from an Excel sheet. Its help describes the steps like this:

  1. Take a backup of the company.
  2. Go to Administration, then Data Export/Import, then Import Vouchers from Excel, and choose the voucher type.
  3. Configure a format: map Busy's fields (date, voucher number, party, item, quantity, rate and so on) to the columns of your sheet. You do this once and reuse it.
  4. Choose the Excel file, the sheet number and the first and last rows, and import.

Menu names and the voucher types offered differ between Busy versions, so check that yours lists the voucher you use for customer orders. The import only works when party and item names in the sheet match your Busy masters exactly. We have not tested OrderDak's sheet against Busy's import yet. See Busy's own help on Excel import.

Marg ERP

Marg's import options vary by version and edition, and we have not tested an Excel order import in Marg. Ask your Marg partner or Marg support whether your version can import orders from Excel and in which column layout. Pharma distributors also need batch and expiry on each line, which buyers rarely send: that is usually chosen at billing time in Marg.

Where OrderDak fits today

  • One inbox for every format. Forward order emails, upload PDFs, Excel sheets and photos of printed orders, or paste a WhatsApp chat. Handwritten slips and voice notes are in development.
  • Read and checked. AI reads the buyer, PO number, items, quantities, rates and dates. Each line is matched to your item list (imported once as a CSV) and checked for rate, credit, stock, pack size and duplicate PO numbers. Unclear orders come to your team for review.
  • Excel download per order. Each order downloads as an Excel sheet in a fixed layout: buyer item code, description, quantity, unit, rate, discount, GST %, HSN and amount, plus a second sheet with the PO number and date, buyer, GSTIN check, delivery date and totals. Use it to enter the order in Busy or Marg, or as the starting point for an import format.

One honest limit: the downloaded sheet has the items as the buyer wrote them. The match to your own item names is shown on the order screen in OrderDak, not yet in the sheet.

Questions

Does OrderDak post orders directly into Busy or Marg?

Not yet. Direct posting to Busy and Marg is planned but not built. Today OrderDak reads and checks the order, and you download it as an Excel sheet to enter or import in Busy or Marg yourself.

Can Busy import sales vouchers from Excel?

Busy's help describes Import Vouchers from Excel under Administration, then Data Export/Import: you choose the voucher type, map Busy's fields to your Excel columns once, then give the file, sheet and rows. Check that your Busy version lists the voucher type you need, and take a backup before importing.

Can Marg import orders from Excel?

It depends on your Marg version and edition, and we have not tested it. Ask your Marg partner or Marg support whether your version can import orders from Excel and in which layout. If it can't, the OrderDak sheet still saves you from reading the order off a photo or PDF while you type.

Will the item names in the sheet match my Busy or Marg items?

The downloaded sheet has the items as the buyer wrote them, with their item codes. On the order screen in OrderDak you see each line matched to your own item list (imported once as a CSV), with rate, credit and stock checks, so you know which item to pick.

Is OrderDak free to try?

Yes. It is free during the pilot, with no card and no contract. The free tools on this site need no sign-up at all.
